Job Description Summary

Four distinct teams within External Affairs - Operations, Development, Alumni Relations, and Communications - work collaboratively across the School and the University to secure philanthropic commitments that empower teaching and learning, research, and dynamic programs that comprise a leading global business education. The Business Operations Coordinator is a member of the Operations team who performs key HR, payroll, financial, and administrative tasks that facilitate business processes for all departments within External Affairs.

Job Description

As the coordinator, you will report directly to the Senior Business Manager for Wharton External Affairs, to represent and execute the key business, financial, payroll, and HR operations duties for a staff of over 100 individuals. You will support the key University HR and finance processes within the department.

The position projects and activities will include, but are not limited to:

  • Manage payroll and various HR functions for the department.
  • Updating current office operation practices to help streamline training of staff and special projects as needed.
  • Assist with developing and maintaining an onboarding program for staff and student workers.
  • Assist the business operations team with processing vendor payments, employee reimbursements and approving expense reports in Concur.
  • Work under limited supervision, exercise judgment, set priorities and handle multiple projects simultaneously, as well as exhibit maturity and discretion in the handling of confidential materials.

  • A BA/BS and 2 - 3 years of experience is preferred; or equivalent combination of education and experience
  • Demonstrated experience of adaptability; shifting priorities, updating assignments, changes in responsibilities, etc. as needed.
  • Entrepreneurial spirit, innovative, inquisitive, detail-oriented, and self-motivated.
  • Strong oral and written communication skills.
  • Ability to work independently, but collaboratively, as part of a goal-oriented team.
  • Strong relational skills, allowing for collegial working relationships with individuals at all levels, including alumni, staff and faculty.
  • Dedication to diversity, equity, and inclusion in line with Development and Alumni Relations' stated core values.
  • Ability to work extended hours during peak times of the year
